Streszczenie:The present research aimed to design strategies for improving document management within the administration of the Student Welfare Unit at ESPAM-MFL. To achieve this goal, a methodology was employed that integrated inductive, deductive, and analytical-synthetic methods, as well as bibliographic and field research. Data collection was conducted through interviews and observation sheets. The results revealed that document management is largely aligned with the Technical Rule for the Organization and Maintenance of Public Archives and the ISO 15489 standard. However, weaknesses were identified in the process flow, including the lack of technology migration policies and the absence of complementary backup copies, which pose a risk to information preservation. Additionally, the department lacks specific internal policies, despite having the general guidelines provided by the Institutional Archive Unit. Although steps toward digitalization have been taken, such as the use of Google Drive and the incorporation of electronic signatures, the digitization of the physical archive has not yet begun. Finally, the absence of regular training and evaluations in document management was noted, limiting the potential for continuous improvement in this process.
